     Job Duties : 
    Financial • Managing financial resources and ensure sustainability • Prepare budgets, cash flows and other management reports regarding the operations and financial position of AFSA. • Monitor Donor budgets basing on actual expenditure versus projected costs and regularly provide an analysis to highlight areas of concern so as to enable proper decision making. • Prepare and submit monthly Financial Donor reports as per requirement by various donors that fund the Alliance. • Prepare payments including the staff payroll, payments for service providers and disbursements for AFSA implementing partners and make sure that it is approved by the Coordinator. • Check and verify all submitted accountabilities to ensure completeness of all approved payments and compliance to Donor requirements. • AFSA being an NGO that implements also through its members, making them sub-grantees, I follow up and check the accuracy of their financial reports submitted. • Draw management attention to departure from policy, plan or budget • Check bank accounts, bank statements and ensure that monthly bank reconciliation statements are made and approved by the Programs Coordinator • Coordinate purchases, ensure effective administration of the store and carry out regular physical stock counts and prepare stock reconciliation statements • Ensure proper books of accounts are maintained, kept and audited in time • Process and post all transactions into the Quick books Accounting package • Perform monthly NSSf, PAYE and WHT returns and ensure timely Submission to the Authorities • Manage all cash receipts and petty cash imprest. • Guide and advise on financial queries on budget issues, financial performance and audit queries • Maintain fixed assets register and manage moveable and permanent assets • Prepare and present financial statements in accordance with the International reporting standards for External Audit. Administrative Duties • Support in the preparation of meetings, workshops and conferences. Ensure the venues are booked on time, attendees are communicated to and manage any payments necessary • I do hotel bookings, air ticket reservations and itinerary confirmations • Draft Memorandum of Understanding (MoUs) for signing with implementing partners and also Draft contracts for service providers where required • Assist in any other administrative duties as may be required.
