Duties and Responsibilities:
Responsible for general planning, coordination, control of all Human resource employment cycle by managing entry, stay and exist;
Managing entry through;
Human resource strategy formulation; Formulation and proper implementation of appropriate human resource strategies on talent acquisition, retention engagement etc that are aligned to the business strategy to enable the company achieve its short and long term objectives.
Workforce planning; Forecast staff requirement by identifying current & future human resource needs through skill gap assessment, critical talent assessment, and diversity planning.
Recruitment and selection; coordinate all company’s recruitment activities such as drafting advertisements for authorized recruitments, organize and execute interviews and selection of staff.
Orientation; of new & existing staff in order to enable them to familiarize themselves with the organizational culture, vision, company systems.
Championing company positive culture that is in line with business goals and best practices in order to enhance a high performing culture and creating ownership of the organization’s values, vision and mission
Contract Management, update and issue contracts that are in line the set labour laws
Managing Stay through;
Legal compliance with organisation policies as well as employment laws.
Staff policies; Engage in policy formulation, implementation and review, oversee HR Manual implementation. Frequently communicate the policies and procedures in place to ensure that staff are well versed.
Standard Operating Procedures; Monitor development, documentation and implementation of standard operating procedures
Capacity Building through continuous staff training & Development; by conducting training needs analysis and devising means to close them, designing training and development programs and ensuring a continuous staff development programs, conducting trainings, evaluating training effectiveness
Staff welfare Develop and implement strategies for staff wellness, health and safety, advice management on issues relating to staff welfare and motivation, work towards resolving daily staff work related challenges. Ensure company uniform is adhered too at any given time.
Employee remuneration; Prepare monthly payroll, submit statutory deductions such as PAYE, NSSF, Local service tax, recover advances, losses and ensure that staff are paid as per their terms of service and any staff complaints are handled appropriately.
Advisory and support; Provide ongoing advise and support to management by providing Human Resource advice, counsel and decisions.
Managing Grievances and Disciplinary issues, by putting mechanisms for grievances and disciplinary handing, conducting all disciplinary proceedings with the committee.
Performance Management; Execute, support line managers and monitor implementation of performance management system using the balance score card. Including setting of clear performance objectives, metrics, overseeing performance reviews in order to assess and close performance gaps and thus boast staff productivity and efficiency.
Retention strategies to enable retention of highly motivated & quality work force.
Manage work place relations by handing complaints, disputes and grievances in order to foster conducive working environment through employee relations activities and communication;
Manage Occupational Health, Safety & Environment issues at Tropical Heat and following up with staff insurance related issues.
Hr budget preparation and human resource quarterly report presentation to directors.
Ensure efficient HR & Admin services delivery including, leave management, , ID Card processing, Payroll, attendance monitoring, Job descriptions, response to audit queries, background/reference checks, Induction programs, letters of appointment, deployment, transfer, promotion, discipline etc.
Managing exist through;
Conducting exit interview, ensuring property clearance and computing terminal dues.

Responsible for management of the human resource functions as well as administrative tasks by;
HR systems and processes; By providing guidance to all stakeholders on HR and administrative related systems and processes including training and development, policy related issues, Recruitment, Contracts, Performance Management, Benefits.
Customer Service; providing exceptional customer experience to both internal staff and external stakeholder as well as company visitors and arrange for quick action from the people responsible.
On-boarding ;Facilitating an efficient, timely, and client-focused on-boarding process through preparation of an on boarding programme in order to familiarize new hires with the organizational culture, vision, company systems and leave a positive first impressions
Contract Management, Refurbish all relevant information, prepare and issue contracts on time as well as inform and advise staff on their conditions of service and entitlements according to local laws and company policies.
Workforce planning; actively participate in workforce planning by identifying current & future human resource needs through skill gap assessment, critical talent assessment, and diversity planning.
Talent Acquisition; By coordinate all company’s recruitment activities such as staff requisition, drafting adverts, identifying talent pools and placing adverts, shortlisting, conducting tests and interviews, selection, reference checks all in line with the recruitment policy
Events Management; Provide administrative support & coordination to key events
Erp Update, Update HR related Erp modules ready for users at any given time.
Research; Conduct research on a range of HR issues like surveys on engagement levels, satisfaction levels, leadership index and assist in the preparation of notes/reports thereafter present recommendations to supervisors.
Collect feedback, ideas, and internal knowledge about processes and best practices and utilize productively;
Answer questions and follow-up with personnel and management to ensure completion of absences requests, performance management cycle, and other HR processes etc. in electronic information systems;
File management; Maintain department files and records including personnel files, attendance sheets, leave records
HR planning; drafting efficient HR plans such as training plans, recruitment plans and follow up for execution.
Travel plans; Coordinate travels between Ugandan branch and the mother company and prepare activities for visitors;
Training and Development, by conducting training needs, designing training and development programs, conducting trainings, evaluating training effectiveness. More so manage and maintain up-to-date training records physically and updating them in Erp.
